Position Overview:

The Office Manager is responsible for providing administrative and organizational

support to the Hibben UMC congregation, staff, and committees.

Reports to: Senior Pastor

Principal Duties and Responsibilities:

  • Serves as the church office manager and administrator. Maintains a welcoming

and safe environment for anyone who enters our doors by providing a hospitable

experience.

  • Interacts with parishioners, guests, committees, and staff in a manner that is

enthusiastic, helpful, courteous, pleasant, and professional. Understands

confidences and uses discretion in discussions of sensitive matters.

  • Ensures an efficient and effective church office operation. Develops and

recommends improvements to office procedures and systems. Independently

and proactively completes tasks and effectively communicates with others.

  • Provides administrative support to clergy and staff. Assists Pastor(s) with church-

related appointment scheduling. Keeps pastor(s) apprised of congregational

needs where applicable. Serves as executive assistant to the Senior Pastor.

  • Manages communications on behalf of the church in a respectful manner through

email messaging, phone conversations, personal interactions, and written

correspondence.

  • Serves as the first point of contact for persons seeking assistance from the

church. Collects and forwards client information to the Missions Coordinator.

Provides information on local resources for those seeking assistance outside of

the church’s capacity.

  • Prepares attractive and accurate bulletins for Sunday worship and other events.
  • Manages church events calendar and event reservations. Assists church staff

with event arrangements.

  • Maintains worship attendance information and compiles visitor data reports.
  • Coordinates preparation of sanctuary for Sunday worship service.
  • Maintains all computer membership records. Manages Realm online portal

accounts and content and provides technical support for subscribers.

Schedules/coordinates New Member introduction into church membership.

Prepares all New Member material.

  • Provides donor acknowledgement for all memorials/gifts/donations to church.
  • Serves as liaison between Pastor and Worship/Altar Guild regarding special

services (funeral, weddings, baptisms, etc.). Manages wedding and funeral

communication, coordination, and scheduling.

  • Maintains general inventory and upkeep of all worship/altar supplies, etc.,

including altar flowers.

  • Provides monthly communication with Greeter & Usher Coordinators and notifies

greeter/usher volunteers.

  • Coordinates with Trustees on building maintenance needs and security/safety

issues. Maintains church building access card/key assignment log. Monitors

security cameras during office hours.

  • Conducts monthly tests of Automated External Defibrillator (AED) equipment and

orders new supplies as needed.

  • Compiles statistics for Annual Conference and end-of-year reports.
  • Other duties may be assigned.
