JOB DESCRIPTION
Administrative Assistance
Serves as Administrative Assistant to the Pastor and members of Socastee United Methodist Church. The objective of this position is to assist with the details of daily church operations and help to fulfill its purpose and mission.
- Serve as an office greeter to church members and visitors including members of the community seeking assistance.
- Assist committees, and program chairpersons with the preparation and copying of materials, lists, and correspondence.
- Answer and direct all incoming telephone calls to church staff.
- When necessary, call for repairs and service on all church office equipment.
- Act as the Membership Secretary of SUMC and maintain all records pertaining to membership using ACS Realm software.
- Prepare, print, copy, and fold bulletins for weekly Sunday services, funerals, and other special events.
- Maintain a paper and electronic filing system for all church related documents.
- Prepare, print, and copy all necessary materials for the quarterly SUMC newsletter. Also, print mailing labels for the newsletter. The printed newsletter is prepared using Microsoft Publisher.
- An electronic version of the newsletter is prepared and disseminated using MailChimp.
- Keep an accurate calendar of all church-related events (in Facility Scheduler and Google calendar)
- Immediately notify the Pastor and appropriate persons of those deceased, sick and/or hospitalized. Upon request, the Administrative Assistant may need to work additional hours to work with the Pastor in preparing funeral bulletins.
- Acknowledge all memorials, honors and special gifts. List them in the church Book of Honors, Memorials, and Special Gifts and mail acknowledgements to the donor and other appropriate parties. When requested, assist the Pastor with correspondence and scheduling of appointments.
- Order all church office, custodial, and church kitchen supplies when needed.
- Attend Church Council meetings one evening a quarter.
- Help prepare statistical reports for annual charge conferences and end-of-year reports.
- Demonstrate strong interpersonal and communication skills including the ability to resolve conflicts in a timely and professional manner.
- Code, enter, and pay all bills for the church in Realm software.
- Update church website
- All other duties as requested by the Pastor and Staff Parish Relations Committee.
Knowledge of Microsoft products a must. Realm experience desired. Excellent customer service skills required.
